Troop 370 Parent Meeting Minutes

December 7, 2009

Scoutmaster Report – Don Richard.  The November campout was the second weekend in November at Phillipo Scout Camp.  Activities included shooting 900 rounds, chopping wood, and hiking.  They had nice weather.  There will be no December campout.  On December 19th & 20th scouts will be working on the climbing merit badge at Vertical Endeavors.  Court of Honor is on Sunday, Dec. 20th.  Planning will take place tonight.  The Church is closed Dec. 21st & 28th so there will be no scout meetings.  Looking back over the last year there were four High Adventure trips.  There were eleven participants (4 of them new) that went on the Appalachian Trail.  There were seven participants at winter camp.  Northern Tier had 16 participants (11 new) and Devil’s Lake had 20 participants (4 new).  A total of twenty new people went on High Adventure trips this past year, that’s a good turnout.  Dean Malotky suggested that Don be the new High Adventure Coordinator when he retires as Scoutmaster.  Don conditionally accepted the offer for 2011.  Troop 370 will need a new Scoutmaster in one year and Don is asking people to think about who might be the next Scoutmaster.  The 2010 Calendar is available.  Jim is still working on it but it’s mostly finished.  January and February campouts can still be moved if there’s some interest.  We could move the January campout from Jan. 22nd-24th to the next weekend, Jan. 29th-31st.  There are no football playoff games that weekend.  Also we could move up the February campout to St. Croix State Park by one week to make sure there’s snow.  The Klondike Derby was on our list for January but that’s wrong.  It’s taking place on Sat. Feb. 27th.  Tom Harris will go to the planning event this week.  The dates for Summer Camp and the Goosebury campout can’t be changed.  We are planning on holding Ajawa.

Troop Committee – John Phillipi.  With regards to Youth Protection, in part due to the situation with the Boy Scout Troop in Burnsville recently, Troops need to bone up on procedures to address situations that may arise.  There needs to be two man tenting versus three man tenting so that no one sleeps alone.  There also needs to be two-deep leadership.  We must enforce the requirements and make sure there is no one on one leadership.  Leaders must participate in annual training at the very least.  Leaders need to do the physical training the first time around and then the online training is okay after that.  John will research this and include it in our updated handbook.  There will be more discussion regarding this topic to follow.  The question was asked, “Does our troop have a youth protection trainer?”  The answer is no we don’t.  Jamie Dillon used to lead Youth Protection training.  Recharter for 370 is coming up soon.

Towards the end of December we will need to submit numbers to the Council.  The deadline is 1/01/2010.  Health Forms both Class A & B are changing.  The new forms will be uploaded to the website.  With regards to the calendar, the Mustang District Klondike Derby is being held in February.  The January and February campout dates are to be determined.  John has received 11 completed questionnaires.  All families need to fill one out.  It can be found on the website or on the table up front at parent meetings.  John is working on the Troop budget.  All necessary areas have reported in with their numbers.  John is continuing to work with the budget on Quicken and plans to have it done by January.  There will be another Quartermaster Audit taking place on a date yet to be determined.  Troop 370 has volunteer positions which need to be filled.  Please let John know if you’re interested in serving.

Friends of Scouting – Jefferson Spilman & Paul Skoog.  In 2010 there will be a big push for the Friends of Scouting campaign.  It costs Scouts $15 per each weekend campout for food and $175-$185 to go to Summer Camp.  It costs $500 per boy per year and the Council determined funds spent for a typical Scout is an additional $170 overhead.  A donation in any amount to Friends of Scouting is appreciated.  We’re not asking for $450-$500 per scout, we’re just asking for some help towards the cost.  We do want 100% response from the fundraising brochures that will be handed out.  Please return a brochure with your intentions specified even if you don’t plan to give.  The funds go to the Council to help underprivileged boys within the Northern Star Council.

Treasurer’s Report – Joleen Zastera.  The overall total in the troop checking account equals $21,240.44.  The scout account total is $8,352.61.  The difference available to the troop is $12,887.83.  The dollar amounts include the fundraiser money.  The boys’ wreath money has already been deposited into their individual accounts.  Additional money for the top five sellers has been deposited into their scout accounts as well.

Camping Update – Jim Vlasic.  Jim was not in attendance so Margie Sullivan talked about the January campout.  The campout will probably take place the weekend of Jan. 29th-31st because there are no football playoffs that weekend.  It will take place at Wild River State Park and Wild Mountain Ski area near Taylor’s Falls.  Jim Vlasic will be going.

High Adventure Update – Dean Malotky.  Matt Kistner is taking a group to Joshua Tree during Spring Break 2010.  There are no new updates.  As of now there is no firm group list so if you’re interested in going please talk to Matt.  John Phillipi has Health Forms here tonight for those scouts going to Philmont with him August of 2010.

Wreath & Popcorn Fundraiser – Dan Koster.  Popcorn sales grossed $6,500 and Wreath sales grossed $13,800.  Product expense equaled $10,800 and the net profits are $9,600.  The top sellers were Ben Koster, Zach Knecht, Jack McGee, Hayden Hermes, and Jordan Coon.

Advancement, Merit Badges & Records – Caroline Hermes.  Monday, December 14th is the last day for scouts to turn in their Blue Cards or Board of Reviews to receive merit badges or advancements at the Court of Honor on Sunday, Dec. 20th.  This year our Troop has handed out 115 merit badges, 50 rank advancements along with Eagle rank and Palm pins.  Justin Lawrie’s Board of Review was last Wednesday and he passed.  Justin is the 9th Eagle Scout this year.  Jake Knecht’s Eagle COH will be the same day as the Troop COH on Sunday, Dec. 20th.  The COH will be a potluck dinner.  Margie Sullivan will assign food according to patrols as follows and Mary Puchalski will bring cake for Jake’s Eagle COH.  Screaming Emus & Pythons bring desert, Spider Rays & Spider Monkeys bring salad, Buffalo bring drinks, Panthers & Screaming Chickens bring main dish, and alumni can bring anything they want.

Dillon Sullivan will be responsible for putting together the Power Point Presentation for the Dec. 20th COH and Zach Knecht will be the MC.  Justin Lawrie’s Eagle COH is tentatively set for Sun. Feb. 7th.

Quartermaster Report – John Northrup & Greg Becker.  At the meeting a lot of equipment was reviewed.  They’ve gone through all the tents and are still working on labeling them.  One upcoming budget item is the need to create two new Action Packers for new patrols this year as well as two for next years’ new scouts.  An ongoing budget item is new equipment each year.  We are asking parents to help support the scouts with better planning for campouts.  Scouts will need to checkout camping equipment the Monday before a campout.  This will avoid the Friday rush.  The Scout Motto is Always Be Prepared.  We need parents to help make this happen.  A part of the planning needs to include going through the menu and the Action Packer.  There will be a checklist on the website to help with this process.  We’re beginning this new procedure with the January campout.  Make sure that if equipment or a tent goes home after a campout that it comes back the next Monday clean or aired out.

Recruiting – Jeninne McGee.  Twenty-eight scouts took part in the climbing event at Lifetime Fitness in Chanhassen.  That’s twice more than the number accepted.  Twelve participants were Webelos.  Troop 370’s Court of Honor is Sunday, Dec. 20th and attending this event is a Webelos requirement.  Monday, Jan. 18th we will be sliding at Staring Lake Park.  The event begins at 7pm and we have the warming house until 8pm.  We’ll be serving hot chocolate and treats.

Troop 370 Boy Scout Wall – Daria Phillipi.  The walls are painted and the trim is done.  The lettering is up and the mirror is up.  The Eagle Scout isn’t up yet.  Next we need 1) a retired troop flag, someone is making a frame, 2) old pictures, 3) Justin Lawrie will provide High Adventure logos, and 4) Don Richards has an overview of Voyager Bay.  Will be using only Plexiglas.  Daria checked out some digital frames.  The cost is $49.99 for 7” at Kohl’s.  A 12”-15” would be nice if possible.  John will talk to Paul Skoog about this.  Larry the Ikea man will get the frame.

Service Projects – Mary Puchalski.  We will be collecting Toys-for -Tots at the Dec. 20th COH.  A marine representative in uniform will come to talk to us about the program and accept the toys.

Unit Commissioner – Carl Patow.  The Unit Commissioner’s job is to trouble shoot problems.  This is the third year that Troop 370 has qualified for the Centennial Unit.  Northern Star has just put out a book about scouting.  Soft cover cost is $25 and the hard cover is more.  The books and prices are listed on the Council website.
