Troop 370 Parent Meeting Minutes

August 8, 2011

Parents/Adults Attending: Michael Link, Joleen Zastera, Margie Sullivan, Erik Hamilton, Dave Weaver, Mark Hamilton, Andrew Reitz, Jeff Weaver, Greg Becker, Steve NaSalle, Tom Harris, Tom Payne, Drew Hermes, Nick Hermes, Caroline Hermes, Jeninne McGee, Paul Skoog, Elizabeth Treat, Jaymz Kilgore, Nic Adams, David Straight, Tom Ryan, Dave Rowekamp, Linda Crosby-Rowekamp, Don Richard, Lois Coatney, Nancy Nicklay, Aaron Nicklay, John Phillipi, Brenda Jerich.

Troop Committee – John Phillipi. There are no Roundtable meetings during the summer. Roundtable meetings will resume in September. Our troop 370 meetings will continue to take place at St. Andrew Lutheran Church for the rest of the summer. Tom Ryan is looking at coordinating a Frisbee Golf game at one of the local courses for one of the scout meetings in August. Heads up regarding the schedule, take a look at the troop calendar and mark your personal calendars with the following changes. There will be no meeting on Labor Day, Monday, September 5th or Tuesday the 6th. The next meeting after the 5th will be a parent meeting at Pax Christi church on Monday, Sept. 12th. The next Court of Honor (COH) will be at 7:00pm Monday, September 19th at Pax. The theme for the September COH will be the “Fall Season”. Please bring a dish to share, for example pumpkin bars, apple cake, apple bars, etc. Monday, October 10th is Columbus Day, there will be no meeting, however we will be meeting the following day, Tuesday, October 11th. We have many volunteer positions that need to be filled. We’ve not had good response to requests for help. Few volunteers mean that few are carrying the majority of the troop’s tasks on their own backs. Many hands make light work, please consider helping out for the good of our troop and for the good of your scout. You don’t have to lead a particular group or task, but you can offer to help someone who is. The secretary position will be vacated at the end of August. After two years and four months, Brenda Jerich will be helping out in another area. We need someone to fill the Secretary position beginning in September. If no one steps forward our troop will cease to have meeting minutes. We also need a Recruiting Team (not just one person), a Communications volunteer and/ or a Website volunteer, and an Administrative volunteer. All of these positions consist of a 1 – 2 year commitment. We can split all volunteer positions into smaller chunks to make things easier, which would require more volunteers to get each piece of the chunk completed.

Scoutmaster Report – Tom Ryan. Summer Camp was not but it was great. We got a lot done up there. The scouts had a good time after the hot weather disappeared. A lot of great Merit Badge work was done and we had some scouts achieve rank advancements. Since Summer Camp is one of our troop’s strong suits Tom would like to have photos from Summer Camp on display at the September Court of Honor. He would like all of us to invite Webelo Scouts to attend our September COH.

Treasurer’s Report – Joleen Zastera. The overall total in the troop checking account equals $15,872.67. The scout account total is $6,058.45. The difference available to the troop is $9,814.22. It looks like Summer Camp is going to be pretty well funded. Expenses came in pretty close to our budget. Joleen has a charge back to take care of.

Camping Update – Tom Harris. August campout is this coming weekend, Aug. 12th-14th at Schoolcraft State Park. Tom and the group will be knocking off the entire Forestry Merit Badge. They’ll be building things out of wood and someone will be speaking to the group about how to manage a forest. The Forest History Center is inside the City of Grand Rapids. At the date of this meeting, there are five scouts and three adults signed up to participate. We plan to leave by 4pm on Friday the 12th. It’s about 200 miles to Schoolcraft State Park. We’ll arrive home around 3pm on Sunday the 14th. There’s a $5 fee for the Forest History Center tour. Send $5 with your scout for this tour. Also send cash along with your scout for fast food on Friday and for the return trip on Sunday.

High Adventure – Don Richard. Don will be updating the High Adventure calendar this month. The trip to the Apostle Islands went well, everyone made it back. The Superior Hiking Trail is on the calendar for this fall, specifically MEA weekend, October 20th & 21st. If someone is interested in leading this trip let Don know. It’s an easy hiking trail and not very long. The High Adventure Winter Camping trip is coming up in February, President’s Weekend, February 17th – 20th. The plan will be to leave as early as possible on Friday, Feb. 17th. This year is an anniversary for the Okpik Cold Weather Adventure program offered by the BSA’s Northern Tier National High Adventure Base. Using the Okpik program will provide our troop with help in menu planning as well as acquiring the necessary cold weather personal gear. The Okpik program planners would help outfit each scout as well as the group as a whole. The agenda could include camping on Horseshoe Island, which would require three miles of skiing. We need to begin getting interested scouts and adults signed up for this trip. A canoeing trip in 2012 would be good since our troop hasn’t had a High Adventure canoeing trip since 2009. We’re looking at sending a group to Philmont in 2013. The registration for Philmont usually takes place 15 months in advance of the trip date. We didn’t apply last year so our chances would be good if we apply this year. Jefferson is talking about a trip to Gettysburg in Pennsylvania in 2013. Adults (including parents and alumni scouts) need to step up and volunteer to lead the trips. Once a leader has volunteered then Don can help with the planning, etc. Alumni are good candidates for leading some of these trips especially since they’ve been to some of these places. Normally, Northern Tier applications for 2012 camping would need to have been submitted this past April of 2011. Don believes the available spots that may be open right now will fill up in the next month. Don will check on this.

Advancement, Merit Badges, & Records – Caroline Hermes. The last date for Board of Reviews before the September 19th COH will be Monday, August 29th. This is due to Labor Day on Sept. 5th, and Sept. 12th is a Parent meeting. The last day for handing in Blue Cards is Monday, Sept. 12th. We should have a pretty good COH. So far there are 52 earned Merit Badges and 7 Rank Advancements, which includes 4 Tenderfoot, 1 Second Class, 1 First Class, and 1 Eagle Scout.

Quartermaster Report – Greg Becker. Summer Camp went well, there weren’t many problems with the gear. We need the tents back. We’re working on getting our gear back and into the trailer at Pax.

Order of the Arrow – Steve NaSalle. Those who were elected for OA will receive a letter in the mail from the District OA Lodge regarding registering for OA. To meet one of the requirements of OA membership, all elected OA scouts and adults called out at the Ceremony at Summer Camp must attend the District OA Conclave at Stearns Scout Camp, the weekend of Sept. 16th-18th. Adults from our troop are asked to come and help. If you’re available to help out please talk to Steve. Registration is between 7pm and 8:30pm on Friday the 16th. If you’re an OA elected member attending the Conclave please let Steve know if you would like himself or another leader from the troop to attend and present you with your sash. Adults are able to volunteer for the conclave online and elected OA members are able to register for the Conclave online at the following web address: oa.nsbsa.org/chapterconclaves.aspx. Search for the Mustang District Conclave Sept. 16-18 at Stearns Camp. Try to go to the Mustang District Conclave if you can’t then you may register to attend one of the other Conclaves. Jack McGee is our Communications Youth Representative for the OA. Steve is Jack’s advisor and Steve sits on the board. Because of this Steve would like to see most if not all of our elected OA members attend our own District’s Conclave. Elected OA members don’t need to do anything until they receive their letter in the mail. Once they receive the letter then they need to register. The Mustang District Committee meeting is next week.

Recruiting – Bob Reitz. We need volunteers to help Bob with recruiting this fall. This is an extremely important task. Successful recruiting will ensure the future success of our troop. Every member and every adult will be asked to help spread the word about our troop. Invite someone you know to join our troop! We have an awesome troop! Were else can you find the same level of adult and alumni scout support that we enjoy?

Training – Jefferson Spilman. Jefferson is absent. John Phillipi received no training updates from Jefferson.

Service Projects – Mary Puchalski. Mary still wants to collect more stuff for PROP. They still need donations of gently used clothing. PROP is in desperate need of boys’ clothes, specifically summer clothes; shorts, short sleeved shirts, and swimsuits. With fall approaching, they will take warmer clothing as well.

Summer Camp – Aaron Nicklay. There will be a Summer Camp meeting next Monday, August 15th at 7pm at St. Andrew in the Youth Room. We will meet to debrief and talk about our strengths and weaknesses regarding Summer Camp. Note to all Merit Badge Counselors: Please download all of the files you used to teach your MB. Give them to Aaron to compile.

Summer Camp – Aaron Nicklay. Venturing Crew is up at Isle Royale. They left this past Sunday and will be back this coming Sunday. Seven girls went along on the trip.

Eagle Scout Projects. Eric Geistfeld’s Board of Review is scheduled for tomorrow. Bryan Duerfeldt did his Eagle Scout Project on Monday, July 25th and had a great turn out.
