Troop 370 Parent Meeting Minutes

 

  1. PLC Report. Jackson P, SPL. Court of Honor on Dec 18th. Sledding on Dec 19th at Staring Lake – meet at warming house. Will be no ice fishing on Dec 10th as there is not enough ice.

  2. SM Report – Joe S, SM. 3x Scouts are finishing ternderfoot; have a couple of Scouts coming up for 2nd class..

    1. Activities.

      1. Ice Fishing – December 10 – cancelled.

      2. COH – December 18. A Sunday. Have gym from 4-6, could start at 4:30.

      3.  Sledding, Staring Lake, December 19th at 7 PM.

      4. Church is closed on 19th – will be last meeting until early January.

      5. December 31 – WWII Air Museum, South St Paul. A Saturday – Don R has a friend whose grandfather was shot down in WWII, a very interesting story. The boys would like.

      6.  Wild River – January 21-22 – drive up Saturday morning to avoid having to set up in dark on Friday night.

      7. Klondike – February 10-12 – Stearns

        1. Isle Royale approve August 7 – 13 – need to schedule in January when to start and finish.

Troop 370 website is transitioning into an outward, marketing tool rather than an informational resource because the info security that Scoutbook provides. Paul S asks that people update their email address in Scoutbook.

  2. SM Report – Joe S, SM. Mostly finished an Eagle project yesterday (Erik J); could use a few more adults for the Carver camping trip.

      1. Carver Park – Oct 14-16. 6 Scouts, 3 adult. Troop Will have some guest from Cubs and Webelos.

      2. Halloween Walk. October 29. Drew is looking for add’l adult volunteers and resources.

      3. Halloween – October 31st, a Monday. Meeting is moved to Tuesday November 1.

Troop 370 Parent Meeting Minutes

 

  1. PLC Report. Eric C, SPL. Jackson P standing in for Eric C. Taylor’s Falls this weekend – Cub Scouts are invited – it is a recruiting event. Can invite a non-Scout friend if you like. OA Conclave is coming up September 16-18. COH is September 19th.

  2. SM Report – Joe S, SM. Now that summer is over, we are seeing increased attendance by Scouts. Tonight the Scouts are checking out tents and action packers, improving meal plans. Side note – re-charting is in October and November, with an absolute deadline of December 31.

  4. Team Report

    1. Activities

      1. Interstate SP (Taylor’s Falls) – Sep 9-11. Climbing. 11 boys and 6 adults slated to attend.

        1. Climbing Gear purchase. We are missing some climbing gear. It was likely stolen when we had the break-in on the storage unit. We have purchased some lines, harnesses, webbings – going thin but it will suffice. Cost of purchased equipment was $1100.00. In addition, would like approval for an add’l $50.00 for some duffel bags to put all the equipment is, for a total of $1150.00. Motion made, seconded, passed unanimously.

        2. In addition, Aaron suggests that someone be in charge of the climbing gear and keep at his / her home, rather than in the trailer. This is of course done with the firearms, and historical has been done with the climbing equipment but was not earlier this year. Storing the climbing equipment at someone’s house will significantly reduce the likelihood that the equipment is lost or stolen.

      2. COH – September 19. Drew will bring snacks.

      3. Carver Park or Camporee – Oct 14-16. Troop campout, will invite Cubs. Formerly was scheduled Oct 7-9 – moved to coincide with MEA weekend.

      4. Halloween Walk. October 29. Drew is looking for add’l adult volunteers to provide add’l guidance. Also asks that we think about what resources we have available to contribute to make the even better.

      5. Halloween – October 31st, a Monday. Will attempt to move the meeting to Tuesday November 1.

  1. PLC Report. Eric C, SPL. Jackson P standing in for Eric C. Ft Ridgely campout is slated for August 19-21. Next Monday is a golf presentation right after a history presentation. Taylor’s Falls is slated for September campout.

  2. SM Report – Mike Z, SM. Summer camp went well. Fast Track is going well. Planning for Fort Ridgely – will need more adults to come if they can.

  3. Additions to Agenda – none

    1. Activities

      1. Summer Camp – follow-up and close-out issues. Overall it went well. Boys had a wrap-up meeting last month. Can have an adults wrap-up meeting if desired.

      2.  Ft Ridgely – Aug 19-21 – historical sites

      3.  Interstate SP (Taylor’s Falls) – Sep 9-11. Climbing. Aaron is trying to track down climbing gear – is having a hard time finding. Planning to invite the Cub Scouts to this campout.

Troop 370 Parent Meeting Minutes

11 July 2016

 

No attendance was taken

 

Don opened the meeting at 7:05pm and requested volunteers to take the minutes.  Aaron volunteered.

SPL report was given by Walt who eloquently noted that everyone was excited and looking forward to summer camp

SM Report was given by Mike Z. who could think of no better way to put it than Walt had.

Summer Camp Report was given by Matt and consisted of the following:
             a)  Saturday’s schedule will consist of meeting in the lower parking lot of the church at 8am

             b)  Scouts should arrive packed and ready to go in full class A uniform

             c)  The trailer will need to be packed and Don will collect all meds

             d)  Please put all of the meds for your son in one bag in their original packaging and including instructions for administration.   Don will collect these.

             e)  Physical forms must be turned in tonight or Saturday morning at the latest

             f)   A 9am departure is planned with a stop en route for lunch and tour of the Mille Lacs First Nations Museum.

             g)  Drivers are needed

             h)  Paul is completed the tour permit and needs the driver info from Mark

             I)  Any adult teaching a MB at camp who isn’t registered should see Paul to get a MB counselor application filed.

             J)  Messages to counselors with class lists will go out this week

             k)  Mike K has prepped all of the first years for camp, and anyone who attended last week got cookies.

             L)   Chris will be issuing merit badge books on Saturday

             m)  Payments for camp are due tonight to Mark or Tyler

             n)   Scout handbooks are required gear for camp!

             o)  Lauren requested that everyone in Swimming MB bring a suit and towel, long sleeve pants and tshirt, belt, socks, and shoes that will get wet and probably not dry out before camp is over.

             p)  Mike K requested that range MB people bring long pants, good boots, and water bottles.

             q)   Mike Z reminded everyone that temperatures ranging from 105 to 36 degrees have been observed at camp…..in the same week…..so be prepared for both hot and cold weather camping.   This is Minnesota and of course we love it here.

             r)  If you do not have Youth protection up to date please take it online before arriving

             s)  Matt will be publishing the daily schedule and other documents as we get closer to camp

             t)  Lauren reminded everyone that she will be blogging and hopes to have it not go out on email every day so interested parties should go to the website to check in

 

Camping Report was given by Don and Tom

  1.  Reservations at Ridgeley have been made

    1. Activity is golf as well as the flag ceremony at the fort, the museum tour, and the ongoing archeological dig on site

    2. Attendance can vary due to being just after summer camp but is a fun campout to attend

  2. Taylors falls reservations have also been made for us and the venturers

    1. Climbing and bouldering are the activities

    2. Typically we have invited cub scouts and other friends to attend as a recruiting event

  3. OA conclave for OA members is Sept 16-18th

  3. Paul suggested we may want to make a gear donation to one of the scoutreach units in either Mpls or St Paul who struggle to provide gear to their scouts.

Nominating CommitteeReport was given by Aaron

  1.  While Mike Z and Mike K are doing a great job as SM, they agreed to step in for a short time while our SM search was completed.

  2. Group of troop leaders has been working to find and recruit right person for last year and a half

  3. We believe to have found this person and he has agreed to take the job on for a period of 3 years possibly longer.

  4. Joe Schleiss is an alumni of our Troop, he received his Eagle Scout at age 17 and following graduation from high school, he has served a little over 6 years in the US Army.   Joe was trained as a medic and served in combat in Afghanistan at a couple of different FOB’s supporting a variety of infantry and special forces troops, and providing care to the local populace.   He has also served with Boy Scout Troops in Washington State and in Colorado as an assistant Scoutmaster where he completed all of the BSA training required for the SM job and quite a bit that wasn’t required.   Joe will be leaving the Army in mid July and he will be moving here to the Twin Cities with his wife, Laura, and their two dogs.   Laura has been admitted to a grad school program and Joe is finalizing a career in the medical field as we speak.   Joe will be at camp so anyone interested in speaking with him can find him at the beach.

  5. Per the Troop handbook, we are announcing this at the July meeting with the intention of holding a confirmation vote at the August parent meeting.   The transition from Mike Z to Joe would then take place over the course of the month of August.

  6. Mike Z and Mike K both noted that a younger man in this position is exactly what the troop needs and that they will both be staying on as assistants to provide support as needed.

 

Advancement report was given by Paul who outlined fast track at summer camp as being the morning two MB sessions designed to get the first year boys through second class and mostly through the 1st class requirements.

 

Walt presented his Eagle project for approval which is the construction and installation of two moveable platforms for 55 gal drums that will serve to feed the drip irrigation system that waters the gardens at holy family school in Victoria.  The gardens produce is donated each year to PROP here in EP.   Walt plans to complete the project this fall, will require 4-10 volunteers, and is accepting all input on his design for the platforms.

 

Paul briefly outlined the requirements for an eagle project which are to complete a significant project for a non profit that requires both planning and leadership.   There are no minimum hours required anymore but generally we find that 100 man hours is appropriate for many of our scouts.   Walt is making the proposal because he requires the signature of several people including the CC and SM to move on to district approval.

 

Finance report was given by Tyler, we have lots of money.   $13,319 in the troop account of which $8346 is in the Scout accounts and $4975 is in the general fund.  This does not include an summer camp or high adventure monies which are accounted separately.   A question was asked about the accounting method and Tyler clarified.

 

Charter report was given by Lauren who noted that she reserved rooms for the year and that she reserved the gym from 6-7pm each Monday before our meeting for our use….except on voting days.

 

The Cub Pack laision report was given by Drew who asked for a replacement, preferably someone who still has a connection to the pack via a younger son.

  1. PLC Report. Jackson P, SPL. New kids doing well. Planning in place through April. Have a PLC meeting in May (and an election). Today is team building. 4/30 @ 1400 @ All Saints – Color Guard for Blake N Eagle ceremony. Planning for Frontenac campout.

  2. SM Report – Mike Z, SM. 9 new boys are on Fast Track. Learning to put together tents, basic stuff.

  3. Additions to Agenda – Aaron N

    1. Aaron sent out recruiting flyer – to EP CMS. He could use some help recruiting.

    2. Aaron got some old slides from a parent of prior Scout activities. Would cost $140-160 to reduce slides to DVD / CD. Motion, seconded, passed unanimously to approve spending.

Scoutmaster Minute

Mike met with older scouts and discussed what changes needed to be made to the fast track program.  They decided on a rotational older boy 30 min session in order to split the mentoring up between the adults and the older boys.  This was done in order to give the new scouts more exposure to the older boys directly in order to learn how the troop works.

 

Team Reports

                April campout – Frontenac

The plan is to focus on orienteering.  The scouts have requested some geo-cashing and wide area games.  Frontenac is located just south of Red Wing and has the space to accommodate these activities.

                May campout – TBD

The activity is scheduled to be biking.  We will utilize the troop trailer if necessary in order to transport bikes.   Bike safety will be covered on the Monday night meetings predeceasing the campout.  Potential location is Carver Park or something else close to the cities.

                 June campout – TBD

This is slated for a canoeing campout.  Potential locations include Bemidji and pine river.

                2016 High Adventure

The boys have still not expressed a large input for any particular high adventure as of yet.  Options include Elroy-Sparta, Devil’s Lake, Isle Royale, BWCA, Sea Base, and Northern Tier. Scouts will provide further input on a high adventure trip still.

                Quartermaster

Chris cleared a pathway into the shed. Last fall, 4 action packers were cleaned and we hope to have a total of 6 ready for the upcoming campouts.  Tent maintenance is also up-coming before the April campout.  

                Advancement

Need volunteers for a board of review next week.  Hayden has a solid plan for his eagle project now.  He will be building benches (with backs) for the preserve barn beginning the weekend of March 12th and continuing to complete his project through March 27th.

                Training

Virtus Training is being looked into for anyone who still has to complete this.

Outdoor Leadership Essentials – Don is planning to conduct training for our troop over Memorial Day weekend at Voyager Bay.

                Service

Hayden will need volunteers for his eagle project during March.

Finances are still good after camp. Looking for another good fundraising year.

                Cub Scouts

                                Started meeting on Monday nights. One pack meeting per month, one den meeting per

month at church. The pack is growing again, may be as high as 60 scouts next year.  Matt, Dave, and Jon are teaching cub scouts one activity badge per month.

Ventures

If you have any female adult leaders that like to camp, the ventures are always looking to add/grow their group.  Also, any sisters of scouts are welcome to check out the venture crew that meets Monday nights, same time and place as the scouts.

    1. Activities

      1. 2016 Activity Calendar – published.

      2. High Adventure 2016. Nothing is specifically planned at present. Will work with the boys to determine what is desired. Would then need to collect appropriate deposits, schedules, etc. depending on those activities.

      3. January campout – Wild River – 16-18 January. Provided there is snow, will camp and ski. If no snow, activities will be more limited.

      4.  Cana dinner – 6 February – need Scout volunteers to serve.

  1. PLC Report. Jackson P, SPL. Made a rough plan of activities through January. Needs to communicate with webmaster to publish.

  2. SM Report – Mike Z, SM. Transitioning new SPL, watching growth. 4 new Scouts, looking forward to outdoor sports activity tonight. Have a visiting group of 12 Webelos from Pack 479. Would like to improve commo issues so no surprises. Will be talking about campout support in January. Set for COH next week.

                November campout – Phillippo

                                Cub scouts are invited. Venture crew will be coming. Need archery, climbing, rifle, and

bb gun instructors. The plan is to recruit Corwin’s friend from Taylors Falls to assist with

climbing.

                Holiday Boutique

                                Scouts/Adults will assist with unloading and hauling vendor goods on Friday night and

Saturday morning. Troop plans to have a booth with banner and flyers and sell

wreaths/popcorn if we have remaining product.

                December Activity – Ice Fishing

                                The warm weather may prevent this event from occurring on schedule.

month at church. The pack is growing again, may be as high as 60 scouts next year.  Matt, Dave, and Jon are teaching cub scouts one activity badge per month.

Scouts are working on planning the campout at Carver Park and planning activities for the cub scouts. Our boys will be leading stations such as knife safety and soap carving. Troop 370 will be providing lunch for all attendees, with patrol cooking for all other meals. Drew F. will be coordinating the food for the cub scouts. Walter T. will delegate scouts to get rope, soap bars, and other supplies as needed.

planning. Venture crew will lead groups; pack is having each den run a game/activity

room inside. It is on Saturday the 24th, plan to arrive at 530. There will be pizza for dinner. Remember to bring flashlights. We may be asked to assist the church with grilling hot dogs again.

Troop 370 Parent Meeting Minutes

 

  1. PLC Report. Walter T, SPL. PLC meeting was held two weeks ago. Planning to work on a disabilities MB, would like an advisor if one is available. Making plans for the Halloween Walk.

  2. SM Report – Mike Z, SM. Since Summer Camp, moving to a more boy-run troop. He has turned a lot of responsibilities over to the Troop, especially to Walter T. Need to work out some processes and communication but overall has been working well. No changes have been made to the patrol structure, and the boys are excited about the transition of Cub Scouts to the Troop. We have folks trained to work with the Cub Scouts and as den chiefs if there is a need.

  3. Additions to Agenda

    1. Motion / vote on sale of motorbike that the troop repaired. Have offer to purchase for $500.00. Motion, seconded, unanimously passed.

    2. COH is scheduled for 21 September. Amy S has been coordinating treats, etc. Will she be able to conduct for this COH?

  4.  Virtus Training. Ken R, Director of Ops, Pax Christi, presents. Troop leaders will need to register and attend Virtus training as the scope of child protection has expanded. Handed out materials. Troop will work with Ken to determine scope, i.e. who has to attend the training. A number of Virtus trainings are scheduled and noted on the Pax website. More can be scheduled if it is needed.

  • September - Taylor's Falls - Inviting the Webelos, either overnight or for the day to climb
  • October - Lake Zumbra - Carver Park.  The entire Pack 348 is invited to join us.  They do not get much camping experiences.  They can come for overnight or for the day.  We need programming - possibly what was outlined for summer camp.

  1. Voyager Bay Summer Camp - Final Plans and Logistics. Matt K.

    Andrew R is director this year. Carl is his assistant. Youth Protection Training - if attending camp, must have up-to-date - please address ASAP. DVDs for the training are available from Don R if needed, but preferred approach is to do the training online. Payment for camp is ASAP. Physical forms also need to be addressed ASAP. A reminder - physical forms are only good for one (1) year. As of this date, 13 Scouts are registered for summer camp. Need one more adult driver and someone to pull trailer to camp. MB form was distributed to Scouts - need to conform MBs for same. Tentative tour on way to camp is Croft Mine - Don R is coordinating. Kitchen preparation is coming along well; have a list and plan for things needed for the kitchen. Will be conducting a planing meeting at camp, as did last year - please come prepared to address. Range - no update on clays - need to communicate with Drew on coordinating. T-shirt order is in. Mosquito treatment at campsite has been done. Jim V will bring up sunscreen when he comes to camp. Pre-crewis at 0800 at Mike C’s house. Will be stopping at Y Cub in Garrison for lunch on the way up if you want to meet along the way.

  2. PLC Report. Nicola P standing in. Is happy with trend of the Troop - seems to be getting more organized and more focused. Last month camped at Cascade River; now prepping for Voyager Bay and Philmont (select Scouts).

  1. PLC Report. Walter T. Walter T is now SPL. Other positions - Andrew C - QuarterMaster; Blake N, Chaplain’s Aide; numerous Asst SPLs. Tonight is gear check and gym night. Planning - Service night; Citizenship of the World MB.

    1. Mike K - few Scouts going camping - trying to figure that out

    2. Mike Z - will be taking over SM role. Intent is to recruit a suitable replacement to be trained and groomed. Wants to move the Troop back into a boy-run program.

    1. Activities

      1. Cascade River - June - 4 Scouts and 3 adult volunteers are slated. Plan is to go hiking.

      2. Summer Camp Update: 7 Scouts are registered (of 18 in the Troop). 24 adults are registered, both full and partial duration. Likely will be more Scouts to sign up, but fewer than 10-11 Scouts would be too few.

      3. Philmont 2015 update. Recent campout near near Isabella on Lake Superior by Philmont group. Physical preparation and team-building is going well. However, boys did need to be reminded of need to always act as Scouts, especially when the world knows that you are a Scout; ie, follow the rules; be considerate of others; leave no trace. Leadership is confident that the team will be prepared at by the time it needs to be.

      4. Superior Hiking Trail - planned for August.

      5. Taylors Falls - September - 1 of 4 sites is reserved.

      6. Potential Troop / Cub campout in October - Cub Scout Pack has expressed interest in camping with the Troop. The campout would be with the whole pack - a fairly large group. Phillipo has been offered as an option, but because we are scheduled for it in November already we will look at other options.

      1. Tents - purchased sample tent and used at campout. Liked it but may be issues with ventilation.

      2. Follow-up to make sure trailers and tires are good for summer camp.

  • Partnership Idea – Troop 290 in Glen Lake – John N introduced Tom C, SM of Trrop 290 near EP High School, consider partnering to take advantage of strengths of each Troop. We will host them at Ajawah in April; they will host us at their “Techo-Nite” at a time to be determined – to see how the boys get along.

    -      Report on actual financials 2013 – 15 as well as budget 2015. Fundraising is dropping, primarily because fewer Scouts.

    -      Need to budget for and break even on summer camp

    -      Equipment – will need to spend on some, especially tents

    -      Friends of Scouting – last night to give
